## Join Our Team as a Customer Order Specialist II

Are you detail-oriented with a passion for customer service? We’re looking for a Customer Order Specialist II to join our team and ensure the seamless processing of hospital purchase orders from the US and Canada. This role focuses on timely and accurate order fulfillment and provides prompt responses to customer inquiries.

### Location Flexibility
We welcome remote candidates from across the US. If you are located in the Bay Area, you’ll follow a hybrid schedule with three on-site days per week.

### Key Responsibilities

– **Order Processing:** Review hospital purchase orders received via EDI, verifying accuracy for release and shipment.
– **Customer Interaction:** Answer incoming calls with a respectful and helpful demeanor, providing clear and concise responses to internal and external customers.
– **VA Orders:** Intake and document VA orders, collaborating with Finance when necessary.
– **Order Revisions:** Communicate directly with customers to make necessary revisions to purchase orders.
– **Status Updates:** Keep customers and the sales team informed about order status updates.
– **Overflow Processing:** Serve as the primary back-up for processing email and e-fax orders.
– **Backorder Management:** Communicate and maintain backorder information.
– **Administrative Duties:** Handle miscellaneous tasks such as filing, scanning, and archiving.
– **Complaint Handling:** File customer complaints following company procedures.
– **Quality Metrics:** Log data for quality purposes and ensure compliance with the Quality Management System (QMS).
– **Regulatory Adherence:** Understand and follow relevant security, privacy, and compliance principles.
– **Team Compliance:** Ensure department members adhere to QMS, regulations, standards, and procedures.
– **Additional Duties:** Perform other related tasks as assigned.

### Qualifications

– **Education and Experience:** High school diploma or GED with preferred customer service experience in a medical device, pharmaceutical, or regulated environment, or equivalent education and experience.
– **Communication Skills:** Strong oral, written, and interpersonal communication abilities.
– **Training and Proficiency:** Ability to independently and proficiently process foundational tasks in our ERP’s production environment within 60 days of starting.
– **Technical Skills:** Proficiency in Microsoft Office (Word, Excel, PowerPoint); SAP experience is a plus.
– **Attention to Detail:** Keen attention to detail and the ability to manage multiple tasks and deadlines.

### Working Conditions

– **Office Environment:** General office setting with some lifting and moving of up to 25 pounds.
– **Mobility:** Ability to move between buildings and floors, and remain stationary using a computer or other office equipment for extended periods.
– **Communication:** Must be able to read, prepare emails, produce documents, and exchange accurate information with employees at all levels daily.

### Compensation

– **Hourly Rate:** $21.88 – $29.81 per hour, depending on location and qualifications.
